Managing leads

Leads and reporting

Managing leads

The Leads page is where every captured submission lives. It has two independent parts: a
dashboard of summary cards and charts at the top, and a leads table underneath. This page
explains both — and, importantly, the two separate date filters that trip people up.

Note The Leads page requires a paid plan (Starter). On the free plan the menu item
shows an upgrade prompt instead. Lead tracking must also be switched on — if it’s off, the
page shows a banner linking to the Privacy settings. See
Capturing leads.

Two date filters, and what each one does

This is the single most important thing to understand on this page:

ControlWhere it isWhat it affects
PeriodTop of the page, above the summary cardsOnly the dashboard — summary cards and charts
From / ToIn the filter bar directly above the tableOnly the leads table (which rows are listed)

They are completely separate. Changing the dashboard Period never filters the table, and setting
the table’s From/To never changes the charts. You can, for example, look at the last-7-days
charts while the table below still lists every lead you’ve ever captured.

The dashboard

Period selector

Use the Period dropdown to choose the window the dashboard reflects:

  • All time (default)
  • Last 7 days, Last 30 days, Last 90 days
  • Last 12 months
  • Custom — reveals From and To date pickers

Pick a preset (or a custom range) and click Apply. When a range is active, a Reset link
appears to return the dashboard to All time.

Note The dashboard widgets only render once there is at least one lead in the selected
period
. An empty period shows just the summary cards.

Summary cards

Three cards sit below the period selector:

  • Total Leads — count of leads in the selected period.
  • This Month — count for the current calendar month. This card is deliberately always the
current month and ignores the Period selector, so it stays a stable “how are we doing this
    month” number.
  • Top Source — the most common utm_source in the selected period.

Widgets

When there are leads in range, the dashboard shows up to five widgets:

  • Channels — leads grouped by acquisition channel (e.g. Organic Search, Paid Search, Organic
Social, Paid Social, Email, Direct, Referral). View as a donut or bars.
  • Devices — Desktop / Mobile / Tablet split. View as bars or donut.
  • Leads per Form — how many leads each mapped form produced. View as a table or donut.
  • Leads per Source — a stacked bar chart of leads per day, coloured by source, with a legend
above it. Without a custom range it covers the last 30 days; with a custom range it uses your
From/To dates. (This widget has no alternate view.)
  • Top Landing Pages — a ranked table of the pages that produced the most leads.

Show or hide widgets (Starter)

Click the gear button in the period bar to open a checklist of the five widgets. Tick or untick
any of them to show or hide it. Your choice is saved per admin user, so each team member can lay
the dashboard out their own way.

Switch a widget’s chart view (Starter)

Each widget that supports more than one view has small toggle buttons in its heading (donut / bars /
table). Click one to switch. Like widget visibility, the chosen view is remembered per user.

Custom chart colours (Pro)

Click the palette button in the period bar to open the colours panel. There you can set:

  • Channel Colors — a colour per channel (Organic Search, Paid Search, and so on).
  • Chart Palette — the primary accent (used for device, form and landing-page bars) plus the
colours cycled through for each source.

Click Save Colors to apply them, or Reset to Defaults to clear them.

Note The panel is visible on every paid plan, but saving custom colours is a (Pro)
feature — on Starter the Save button is disabled and shows an upgrade prompt. Chart colours are a
site-wide setting (unlike widget layout, which is per user). If you downgrade from Pro, saved
colours stop applying and the charts fall back to the defaults.

The leads table

Below the dashboard is the full list of captured leads, 20 per page.

Sorting

Click a column header to sort. Date (the default, newest first), Contact, Form,
Source, Medium, Campaign, Referrer and Device are all sortable. Landing Page
is display-only and cannot be sorted.

Filter bar, search and reset

Directly above the table is a filter bar with dropdowns for Form, Source, Medium,
Campaign, Referrer and Device (each populated with the values actually present in your
leads), plus From and To date pickers. Set any combination and click Filter.

The Search Leads box (top right of the table) does a free-text search across leads. Click
Reset to clear every filter, the search and the sort in one go.

Note Remember: the table’s From/To dates filter this table only. They are not the
dashboard Period.

Screen Options — show or hide columns

Open the Screen Options tab at the very top-right of the admin screen to tick columns on or off.
Hiding, say, Campaign and Referrer gives you a cleaner table without losing the data — it’s still in
each lead’s detail view. Your column choice is remembered per user.

Expand a lead’s full detail

Hover a row and click Details (under the Date column) to expand an in-place panel with
everything captured for that lead, grouped into:

  • Contact Info — email, name, phone, and the visitor ID.
  • Attribution — every enabled tracking field (UTM values, first-touch UTMs, referrer,
landing page, device, and any others you track), plus the form name and the page the form was on.
  • Form Fields — the raw fields submitted with the form.

Note The Attribution section only lists tracking fields you have enabled in Settings, so
two sites can show different rows here. See
Visitor & campaign tracking.

Delete leads

  • One lead: click Delete in the row’s actions and confirm the prompt.
  • Several at once: tick the checkboxes, choose Delete from the Bulk actions dropdown,
    and click Apply.

Warning Deletion is permanent — there is no trash or undo for leads. Export first if you
might need the data later. Deleting is often the right call for GDPR erasure requests; see
GDPR & consent.

To download leads instead of (or before) deleting them, use the Export CSV button above the
table — covered in Exporting.
